Setting up and Configuring Gmail To Send and Receive Mail

This guide quickly outlines how to set up Gmail to both send and receive mail using an email account associated with an outside server by using a secure connection.

Setting up a new account

Setting up receiving mail

  • Open the Gmail account that you would like to import mail to.
  • At the top right, click the gear.
  • In the drop down menu click Settings.
  • Select the Accounts and Import tab.
  • Find the “Check mail from other accounts (using POP3)” section.
  • Click “Add a POP3 mail account you own”.
    • You should get a pop-up window.
  • Enter the email address you want to import mail from and click “Next Step >>”.
  • Fill out the receiving settings using the following information:

Username: The username for the account (i.e. name@domain.com)
Password: The password for the account
POP Server: Your server name (Using mail.yourserver.com will not work, as it is an insecure connection)
Port: 995
Make sure the “Always use a secure connection (SSL) when retrieving mail.” box is checked

  • Click “Add Account >>” and wait a moment for Gmail to check your connection to the server.
  • If you would not like to be able to send mail from Gmail for this account as well, select “No” and click “Finish”.
  • If you would like to do so, select “Yes” and click “Next Step >>”.

Setting up sending mail

  • Fill in the Name you would like for the account and click “Next Step >>”.
  • Fill out the sending settings using the following information:

SMTP Server: Your server name (Using mail.yourserver.com will not work, as it is an insecure connection)
Port: 465
Username: The username for the account (i.e. name@domain.com)
Password: The password for the account
Select the “Secured connection using SSL” option

  • Click “Add Account >>”
  • Check your email for the confirmation email from Gmail.
    • Either enter the confirmation code into this page, or click the link sent in the email.

Configuring a current account

  • Open the Gmail account that you’ve been importing mail into.
  • At the top right, click the gear.
  • In the drop down menu click Settings.
  • Select the Accounts and Import tab.

To change receiving info:

  • Find the “Check mail from other accounts (using POP3)” section.
  • Find the account you want to change the information for and click “edit info”.
  • To correctly configure your account follow the instructions in “setting up a new account”.

To change sending info:

  • Find the “Send mail as:” section.
  • Find the account you want to change the information for and click “edit info”
  • To correctly configure your account follow the instructions in “setting up a new account”.
